Secretary to CEO

Responsibilities

  • Assisting the CEO in handling all daily activities and receiving guests

  • Handling information from different channels such as telephone calls, mails, faxes in a scientific manner so as to ensure the information provided to the CEO is properly filtered and accurately presented

  • Responsible for keeping, managing, and supervising the documents submitted by different department to the CEO

  • Responsible for informing, following up on, supervising and coordinating the working arrangement on different departments designated by the CEO

  • Classifying different documents before putting them on file

  • Other job related tasks designated by the CEO

Qualification

  • Undergraduate or above, aged at 25 to 35

  • More than 2 years of working experience as the Secretary to CEO in large scale foreign invested enterprises will be considered with priority

  • Being presentable, attentive to etiquette in business environment, highly congenial and communicative in working with others

  • Being smooth in writing, capable of drafting and writing documents

  • Being proficient in using the office software and handling the office automation equipments

  • Working experience in the financial industry will be considered with priority

RECEPTIONIST aND aDMINISTRATIVE cLERK

Responsibilities

  • Receiving guests

  • Answering and forwarding telephone calls, receiving and sending faxes, copying documents, etc

  • Recording, typesetting and printing different office documents, business documents, contracts and agreements

  • Compiling documents and other printing materials on a daily basis

  • Receiving express mails

  • Purchasing and distributing office supplies

  • Reserving air tickets, hotels and handling other administrative tasks

Requirements

  • Being familiar with office working procedures

  • Being proficient in using office software, such as WordExcel, etc and being able to find information using the internet

  • Being excellent in writing and speaking Chinese and English

  • Being excellent in communication, coordination and highly sensitive in keeping secret

  • Being proficient in using different office automation equipments

  • Being good at adapting to different situations while working under pressure

  • Being good at recording visiting guests and keeping goods in order

  • Academically above the technical secondary school in secretary and management discipline

  • More than 2 years working experience as receptionist in an enterprise

  • Being healthy and energetic
